The Alabama Cooperative Extension Service (ACES) has developed and refined a procedure using the Alabama Cooperative Extension Network (ACENET) to generate an Alabama Extension System (AES) Personnel Directory. Previously the directory was maintained and published by hand, which included paper filing, paper comparisons, and paste up. Now ACENET is used to enter employee information into a database, compile and disseminate the information through various programs on the network and format and print the final copy using a UNIX desk-top publishing package. ACENET currently consists of a Sun Microsystems 690 MP as the primary server along with several SPARCstations operating as additional servers and clients. The SPARCstations use Graphical User Interface (GUI) applications, and Unify Corporation's Accell/SQL scripts which interface with the information supplied in the database to extract data and produce reports. The information is used in maintaining network user accounts, an on-line directory service, and as input into Frame Technology
Corporation's FrameMaker to publish the Alabama Extension System Personnel Directory. Personnel data is extracted from the database and loaded into FrameMaker templates to allow for automatic formatting. Each county's entry has the corresponding information from the database plus a county map which is displayed as a graphic. Updates are implemented as soon as changes are entered into the database by the Human Resources Department staff. The electronic approach for publishing the Personnel Directory means that the directory goes to print much more quickly, with fewer errors, and produces a more accurate final product.
